We only use personal information where we have a lawful reason to do so.

Enquiries and quotations

We use contact, vehicle, location and job information to answer enquiries, check vehicle fitment and prepare quotations.

Lawful basis: Taking steps at your request before entering into a contract. Where you are acting for a company or other organisation, we may also rely on our legitimate interests in responding to and managing business enquiries.

Orders, fitting and other services

We use your information to supply products, arrange deliveries, organise mobile or workshop fitting, take payment and provide agreed aftercare.

Lawful basis: Performance of a contract with you. Where you represent another business, we may rely on our legitimate interests in administering the business relationship and carrying out the requested work.

Accounts and legal records

We keep information required for accounting, taxation, company records and other legal or regulatory obligations.

Lawful basis: Compliance with a legal obligation.

Customer service, warranties and disputes

We may keep and use appropriate job, order and communication records to provide aftercare, investigate complaints, deal with warranties, recover money owed, prevent fraud and establish, exercise or defend legal claims.

Lawful basis: Our legitimate interests in operating and protecting the business, maintaining service quality and resolving disputes, together with legal obligations where applicable.

Website operation and security

We use technical information where necessary to operate, maintain and protect our website and online services.

Lawful basis: Our legitimate interests in maintaining a secure and reliable website, together with applicable rules governing cookies and similar technologies.

Direct marketing

We do not automatically add you to a marketing list simply because you requested a quotation or bought something from us.

If we send promotional emails, texts or other direct marketing, we will only do so where permitted by UK data protection and electronic marketing law.

Depending on the recipient and circumstances, this may be based on:

  • Your consent.

  • The existing-customer rules where legally available.

  • Our legitimate interests in appropriate business-to-business marketing where the law permits it.

We will always provide an appropriate way to opt out of future direct marketing.

Analytics and advertising

We may use website analytics and advertising technologies to understand how our website is used and measure the effectiveness of advertising.

Where the law requires your consent for these technologies, they will only be used after you have chosen to allow them through our cookie controls.

Promotional photographs

We may display examples of completed work on our website, social media or other promotional material.

Where an image contains identifiable personal information, we will normally remove or obscure that information or obtain appropriate permission before publishing it.

5. Information we need from you

Some information is necessary for us to provide a quotation, identify the correct product, plan fitting, complete an order or arrange delivery.

For example, we may need your:

  • Contact details.

  • Vehicle details.

  • Delivery address.

  • Mobile fitting location.

  • Information about the work required.

If required information is not provided, we may be unable to provide an accurate quotation, accept an order or complete the requested work.

Optional information does not have to be provided.

6. Marketing and service messages

Messages relating to an enquiry, quotation, booking, payment, delivery, fitting or other work you have requested are service communications, not marketing messages.

Where we send direct marketing, you can ask us to stop at any time.

You can:

  • Use an unsubscribe option where one is provided.

  • Reply to the message asking us to stop.

  • Contact us at contact@transply.co.uk.

We may retain a limited suppression record after you opt out so that we can make sure we do not accidentally contact you again for marketing.

We may take or receive photographs for operational reasons, including:

  • Assessing a vehicle before work.

  • Checking fitment requirements.

  • Recording existing vehicle condition.

  • Documenting completed work.

  • Identifiable faces.

  • Private addresses.

  • Vehicle registration numbers.

  • Documents or labels containing personal information.

Where a photograph would identify a person or otherwise disclose their personal information, we will obtain appropriate permission where required.

You can decline promotional photography without affecting the service you receive.

Where promotional use is based on your consent, you can withdraw that consent by contacting us. We will stop future use and, where reasonably possible, remove relevant material from channels we control.

We cannot guarantee removal of copies that have already been independently copied or shared by other people.

8. Who we share information with

We only share personal information where there is a genuine business, contractual or legal reason to do so.

Where another organisation processes personal information on our behalf, we require appropriate protections to be in place.

Some organisations, such as banks, payment providers, couriers and public authorities, may process information as independent data controllers under their own privacy policies.

We do not sell your personal information or provide customer contact lists to unrelated businesses for their own marketing.

9. Information processed outside the UK

Some of the companies that provide website, payment, technology or other services to us operate internationally.

As a result, personal information may sometimes be stored or accessed outside the United Kingdom.

Where UK data protection law treats this as a restricted international transfer, we use an appropriate lawful transfer mechanism.

Depending on the destination and provider, this may include:

  • UK adequacy regulations.

  • The UK International Data Transfer Agreement.

  • The UK Addendum to approved EU Standard Contractual Clauses.

  • Another transfer mechanism permitted by UK data protection law.

Where required, appropriate assessments and additional protections are also applied.

You may contact us if you would like more information about safeguards relevant to your personal information.

10. How long we keep information

We do not keep personal information for longer than reasonably necessary.

Our normal retention periods are:

Normally up to 12 months after the last meaningful contact.

Completed orders, fitting work and relevant aftercare records
Normally up to six years after the work or order is completed.

Accounting and tax records
Normally six years from the end of the company financial year to which they relate, or longer where required by law.

Complaints, warranties and legal claims

Marketing information and permissions
For as long as the marketing relationship remains relevant or until you withdraw consent or object to marketing. We may retain a limited suppression record so that we can honour an opt-out.

Operational photographs
For as long as they are reasonably needed as part of the relevant job, warranty, complaint or legal record.

Promotional photographs containing personal information
For as long as they remain relevant to the agreed promotional purpose, subject to periodic review and any applicable withdrawal of consent.

Cookie and website information
For the periods shown in our cookie information or the settings of the relevant service.

We may keep information for longer where necessary because of an ongoing dispute, legal requirement, regulatory investigation or extended warranty.

When information is no longer required, we delete or anonymise it where appropriate.

Backup copies may remain temporarily until they are removed through normal backup replacement processes.

11. Cookies and similar technologies

Our website uses cookies and similar technologies.

Some technologies are necessary for functions such as:

  • Website security.

Our cookie controls allow you to manage the available choices.

Where consent is required by law, the relevant non-essential technologies will not be used until you choose to allow them.

You can change your cookie choices using Cookie Settings on our website.

We use appropriate organisational and technical measures designed to protect personal information against:

  • Unauthorised access.

  • Loss.

  • Misuse.

  • Alteration.

  • Accidental disclosure.

Access is restricted to people and service providers who reasonably need the information for their work.

No website, email service, computer system or storage service can be guaranteed to be completely secure.

Please avoid including unnecessary personal information in photographs, emails or messages.

If you believe information relating to your dealings with Trans-Ply has been compromised, contact us as soon as possible.

  • Restrict processing in certain circumstances.

  • Receive certain information in a portable format where the right to data portability applies.

  • Object to processing based on legitimate interests.

  • Object to direct marketing at any time.

  • Withdraw consent where we rely on consent.

Withdrawing consent does not affect processing that was lawful before you withdrew it.

These rights are subject to legal conditions and exemptions. For example, we may still have to retain invoices or other information required by tax or company law even if you request deletion.

To exercise your rights, contact:

Email: contact@transply.co.uk
Telephone: 0113 403 4771

We may ask for proportionate information to confirm your identity before acting on a request.

We normally respond to valid data protection requests within one month. Where the law allows additional time, we will explain this to you.

We do not currently make decisions about individuals solely by automated means where those decisions have legal or similarly significant effects.
